How I Plan a Month of Instagram Content in 4 Hours Using Notion

A repeatable system that lets you batch-create a month's worth of posts, stories, and reels in one focused session.

I used to spend an hour every morning figuring out what to post on Instagram. Now I spend 4 hours once a month and never think about it again. Here's my system.

First, I have a Notion database called "Content Ideas" where I drop anything that sparks inspiration — a quote, a product feature, a behind-the-scenes moment. Each card has a category (educational, promotional, personal) and a platform tag. Once a month, I open a filtered view that shows only cards with no scheduled date. I pick 30 and assign them to days.

Then I create the actual posts. For each day, I write the caption in a Notion page, design the visual in Canva (linked via embed), and schedule it using Later. The Notion page becomes a single source of truth — I can see the whole month at a glance and drag posts around if something changes.

What used to take 30 hours a month now takes 4. The key is batching and not overthinking. If a post isn't perfect, I publish anyway. Consistency beats perfection. Want to try it? I use my Content Calendar template — it's designed exactly for this workflow.
